Glossary / First Response Time
First Response Time
First response time is the elapsed time from when a specific inquiry arrives to the first reply that actually addresses it, measured per inquiry rather than as a general average.
Why it matters
It is the atomic unit that a median lead response time is built from, and looking at individual cases (not just the average) reveals where the worst delays actually happen.
Unlike an aggregate response-time metric, first response time for a single inquiry is a simple fact: a timestamp difference. Collecting it for ten or twenty recent inquiries by hand is how a business establishes its own baseline before investing in a fix.
The clock starts when the inquiry arrives, not when someone happens to notice it, which is why channels that are rarely checked (an old contact form inbox, a listing site message) often hide the worst first response times.
Example
A form submitted at 9:47 PM gets its first real reply at 7:05 AM. First response time for that single inquiry is 9 hours and 18 minutes.
